BEST Project Office Manager

The United Way of Genesee County seeks a full-time Office Manager for the BEST Project to begin in July 2010.  Salary and benefits will be commensurate with experience.  The BEST Project, located in downtown Flint, is an initiative funded by the Flint Funders Collaborative (FFC).  The FFC includes the United Way of Genesee County, C.S. Mott Foundation, Ruth Mott Foundation and the Community Foundation of Greater Flint.  United Way is the fiscal host and grantor for BEST. 


Qualifications:  Preferred candidates will have proven experience in office management.  Candidates need to be highly organized and have excellent interpersonal and written communication skills; honor confidentiality expectations; be able to work with a variety of stakeholders; confidently and creatively manage work flow; possess proficiency with Microsoft Office applications; organize and manage accounts payable and receivable; and, be open to technology innovations.

 

Responsibilities:  Manage the day-to-day needs of the BEST office by providing clerical and administrative support to the BEST Project including the Project Director and Program Associate.  This position reports to the Project Director.  Additionally, the Office Manager assists the Program Associate with intern and volunteer supervision.  Regular tasks include, but are not limited to:

  

Communication and Data Management

·                     Process incoming correspondence via postal mail/email

·                     Process proposals, contracts and report documentation

·                     Maintain ongoing, accurate database and hard copy files

·                     Provide necessary/requested reports from database

·                     Attend Flint Funders Meetings and record meeting minutes

·                     Provide electronic documentation of meeting minutes to Director

·                     Proof and edit documents

·                     Maintain ‘Lending Library’ inventory and process orders

·                     Coordinate conference room schedule

·                     Maintain accurate and updated contact lists and files


Billing and Budget Documentation

·                     Track draft/projected budgets

·                     Document budget revisions and provide narrative summaries

·                     Order office supplies and maintaining inventory reports

·                     Work with vendors and maintain billing and payment records

 

  

Event Planning

a.        Work with vendors including caterers and facility managers to secure space and amenities

b.       Coordinate and oversee room set-up and tear down

c.        Be on-site for workshops and trainings for support and troubleshooting
